Using Web Based Mail

Web based mail can be found at this location: http://mail.sisp2.net
Your web based mail account is all setup for you and requires no additional instructions. Simply login using your email address username@sisp2.net and your regular password.

Included in most versions of the Windows 9x program is a Internet Email program called Outlook Express. We suggest you use the newest version. Your version may differ some from the explanation we give here, in that case you will have to use your best judgment. Updates are available at the Microsoft website.
This guide will help you to setup and use this program.  When asked to enter information, do not include the quotes (').

Opening Outlook Express
Outlook Express can usually be opened several different ways depending on the installation. 
  • Shortcut Icon on the desktop.
  • Shortcut Icon on the taskbar.
  • From the Start Menu.
  • From the Icon within the Internet Explorer browser.
If you are not connected to the Internet the program may or may not prompt you to connect, depending on how it is configured.  Open the program; It won't matter if you are connected to the Internet or not at this point.

Checking Your Mail Account Settings
The top menu has a list of words that when clicked, open a drop-down list of additional menu choices. Just below them is a row of icons representing the most common menu choices.
Click on the word tools then choose accounts from the drop-down list. In the 'Internet Accounts' window be sure the mail tab is selected by clicking on it. In this area are listed all active mail accounts. They can be named whatever will help you to remember what mail accounts they are. Assuming you have one account listed, be sure it is highlighted, then click the properties button. In the General tab the top field is where the name of the account goes. We normally put 'sisp2.net' in this area. If you have multiple mail accounts you may wish to put 'Bill's mail' or something else to help describe your situation better. In the Name field type your name as you wish others to see it. In the E-mail address field type your full email address using all lowercase letters. The box for 'Include this account...' should be checked.

Servers
Let's move on to the Servers tab. Your incoming mail server is a 'POP3' server.
Note: If anything else is in this box click Cancel, click the Remove button. If no mail accounts are listed jump to the Add New Mail Account section.
The next two fields contain the name of the Incoming mail (POP3) server and should be specified as mail.sisp2.net and the Outgoing mail (SMTP) server which should be named smtp.sisp2.net . The Account name field should contain the full email address you selected at signup (all lowercase, no spaces). The Password field should be filled in unless you want to enter your password every time you check for new mail (possibly for security reasons). If available, you may wish to check the box marked 'Remember password'. DO NOT check 'Log on using Secure...' or 'My server requires...'. 

Spambox
If you wish to receive all email, including suspicious looking messages (possibly spam) create a second email account using username-spambox@sisp2.net as the Account Name or Username along with your regular password. This will circumvent any filtering done at the server level and you will receive all email including obvious spam messages.

Connection
Click the Connection tab.  In this window you either specify which connection to dial or choose not to dial a connection. If you normally connect to the Internet before opening the Outlook Express program you should choose not to dial a connection. If you choose to dial a connection it should be the same connection as the one selected to dial and connect the Internet Explorer.

Security
The security tab contains information for using encrypted mail and that information is not covered here. You may wish to learn more about encrypted mail by searching for security in the help within the mail program.

Advanced
In the Advanced tab you should see port numbers for the outgoing mail (25) and the incoming mail (110) and a slide bar for server timeouts. Move the slide bar to 4 or 5 minutes if you often get large attached files. This will help to keep the server from disconnecting during a large attachment download. No boxes should be checked on this page. Click the Apply then the OK button. A second account can then be highlighted and checked in the same way. If you have only one mail account and other accounts are listed here they should be highlighted and removed using the remove button. Click the Close button.

Options
On the toolbar at the top of the menu click Tools on the pull-down menu click Options. This is where you set your personal mail preferences. If you do not understand what the particular menu choice will do we suggest not changing it. The exact location of some option items may vary depending on the version of your program. If not already checked we do recommend checking the following boxes: Under the General tab 'When starting go directly to my 'Inbox' folder'. Under the Send tab 'Automatically put people I reply to in the Address Book' and 'Send messages immediately'. Under the Maintenance tab 'Empty messages from the 'Deleted Items' folder on exit'. Under the Connection tab 'Ask before switching dial-up connections'.

Add New Mail Account
The top menu has a list of words that when clicked, open a drop-down list of additional menu choices. Click on the word Tools then choose Accounts from the drop-down list. In the Internet Accounts window be sure the mail tab is selected by clicking on it. On the right of the window click the Add button. This will bring a pull-down menu. Click the Mail button from the pull-down menu. In the text box that appears enter your Display Name. This will be your name (or nickname) as you would like it to appear on other computers. Click the Next button. Select the radio button (circle) that says 'I already have an e-mail...' and enter your Email Address in the field in all lowercase. Your e-mail address is username@sisp2.net . Click the Next button. Under the tab 'My Incoming mail server...' make sure that 'POP3' is selected on the pull-down menu. The next two fields contain the name of the Incoming mail (POP3) server and should be specified as mail.sisp2.net and the Outgoing mail (SMTP) server which should be named smtp.sisp2.net . Click the Next button. Account name field should contain the email address you selected at signup in all lowercase. If available, you may wish to check the box marked 'Remember password'. DO NOT check 'Log on using Secure...' Click the Next button. Now click the 'Finish' button. Your mail account is now setup.

Sending and Receiving Messages
The easiest way to send or receive mail is by clicking on the Send and Receive Icon on the upper portion of the screen. This will send any messages waiting in your 'Outbox' and you will receive any mail from your Internet mailbox. If you are not connected at this time you should be prompted with a connection box. If the 'Connection Box' appears, enter your username and password if not already entered and click Connect. You will then connect, send and receive your mail.

Writing new Messages
The fastest way to write a message is by clicking the New Mail Icon at the top of the screen. In the To: field enter the email address of the person who will be receiving the message. Skip past the Cc: field, used for making Carbon Copies. A Carbon Copy is sends an exact copy to another person. Now lets go to the Subject: field. In the Subject field enter what the message will be about. It is a good idea to put something in the subject field, even if it is just 'hello'. Now click on the big field or the body of the message. This is where you will type your message. At the top of the body area you can access the fonts/color/size/alignment. When you're done typing your message click the Send icon on the upper left corner of the window. Depending on the selections made in the options screen, your message will either be sent to the Internet mail server immediatly or placed in the outbox ready for you to connect and choose 'Send and Receive'.


Opening an Attachment
Attachments are files that are attached to a message and are distinguished by the image of a paper clip on the message heading. Attachments can be any type of file. Most attachments you will receive will be pictures. Many pictures open automatically in the Outlook Express program but not all of them do, if the picture doesn't appear in the body of the message click on the paper clip and a pull-down menu will appear. On the pull-down menu choose Save Attachment. Be sure to save the file in a folder you can find later (My Documents may be a good choice). Open the correct program for that file (e.g. if the file is an excel spreadsheet open Excel). In the corresponding program locate the file and open it. This is your attachment.

Sending an Attachment
If you want to send an attachment start by clicking the New Mail Icon at the upper-left portion of the screen. Enter the message information first (To, Subject, Message). Now click the Attach icon on the toolbar or choose Insert, File from the menu at the top of the screen. The screen that appears now has the contents of your computer showing on it. Now you need to locate the file you are going to attach. When this is done click the Attach button at the bottom of the window. To attach another file follow the same procedure. When all the files you wanted to attach are attached to the message click the Send button in the upper-left corner.
